We collect information you provide directly — including your name, email address, business name, and data you enter while using PoolVP (customers, routes, invoices, reports, etc.). We also collect usage data such as page views and feature interactions to improve the product.
We use your information to operate and improve the service, send transactional emails (account confirmations, invoices), provide customer support, and communicate product updates. We do not sell your data.
We also measure the effectiveness of our own advertising. When you visit our public marketing and signup pages, limited information about that visit may be shared with advertising partners — currently Meta (Facebook and Instagram) — so we can understand which ads lead people to sign up and show our ads to similar businesses. This is described in detail in section 6. We never use the data you enter into the application — your customers, pools, routes, invoices, or service history — for advertising of any kind.
Your data is stored securely using Supabase (PostgreSQL) with encryption at rest and in transit. We implement industry-standard security practices and access controls to protect your information.
We share data only with trusted service providers necessary to operate PoolVP (hosting, authentication, payment processing via Stripe, messaging via Twilio). These providers are contractually bound to protect your data and may not use it for other purposes. We additionally share limited signup and marketing-site activity with Meta for advertising measurement, as described in section 6.
You have the right to access, correct, export, or delete your personal data at any time. To exercise these rights, contact us at support@poolvp.com. We will respond within 30 days.
We use session cookies to maintain your authenticated session. These are essential and cannot be disabled while you are signed in.
We also use the Meta Pixel on our public marketing and signup pages to measure our advertising. It sets two cookies on our domain — _fbp, a randomly generated browser identifier, and _fbc, which records that you arrived from a Meta ad. These cookies expire after 90 days.
Where it runs. Advertising cookies are set only on our public pages — the marketing site, sign-in, and signup. They are not present anywhere inside the PoolVP application, and they are not present on the pages your own customers use, such as invoice payment, appointment confirmation, and messaging opt-in pages.
What is shared. When you sign up or contact us, we send Meta the name of the action you took (for example “completed registration”), the plan and price involved, your IP address, your browser’s user agent, and the two cookie values above. Your email address and name are hashed with SHA-256 before they leave our servers — Meta receives an irreversible fingerprint used only to match you to an existing account, never the values themselves. We never send Meta any information about your customers, their pools, their addresses, or their payment or service history.
Your choices. To opt out, email support@poolvp.com and we will exclude your account from advertising measurement. You can also limit ad tracking directly with Meta through your Meta ad preferences, or block these cookies with any standard browser setting or content blocker — doing so has no effect on your ability to use PoolVP.
We retain your data for as long as your account is active. After account cancellation, your data is retained for 30 days to allow recovery, then permanently deleted.
Pool service businesses that use PoolVP may send text messages to their customers — for example appointment reminders, service updates, scheduling, and billing notifications — using phone numbers those customers provided and consented to be contacted at. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe at any time, or HELP for help.
No mobile information — including phone numbers and text-messaging opt-in or consent data — is sold or shared with third parties or affiliates for their marketing or promotional purposes. Text-messaging originator opt-in data and consent are not shared with any third party. Phone numbers are shared only with our messaging provider (Twilio) solely to deliver the messages the recipient has consented to receive.
